This policy explains how Agiza One collects, uses, stores and protects personal data and business information when you use our website, web app, WhatsApp workflows, integrations and support channels.

This Privacy Policy applies to Agiza One websites, dashboards, WhatsApp workflows, help center, marketing pages, client workspaces, admin-managed support channels, referral tools, integrations and related services.

Kenya’s data protection framework recognizes data controllers, data processors and data subject rights. Agiza One may act as a controller for account, billing, analytics and platform administration data, and as a processor where we handle business records on behalf of a customer using the platform.

2. Information we collect

Account and contact data

Name, email, phone number, password credentials, role, account status, support messages and communication preferences.

Business data

Business name, PIN/tax details, address, logo, contacts, customers, suppliers, invoices, bills, receipts, expenses, payments, payroll records, reports and documents you upload.

WhatsApp and communication data

WhatsApp phone number, inbound and outbound messages, onboarding responses, lead stage, support requests and workflow selections.

Usage and device data

Pages visited, clicks, referral source, campaign data, browser, device, approximate location where available, IP address, timestamps and log data.

We may also collect integration data such as connected social account names, page IDs, tokens, webhook URLs, cloud backup status, payment references and delivery logs where you activate those features.

  • To create and manage your account, businesses, team access and user roles.
  • To provide bookkeeping, invoices, receipts, bills, reports, payroll, banking records, document uploads and WhatsApp workflows.

Agiza One may use cookies, session storage, local storage, server logs, first-party analytics, Meta/Facebook Pixel, Google tags and similar technologies to keep you signed in, protect accounts, remember preferences, measure page visits, understand campaign performance and improve the product.

You can control some tracking through browser settings, device settings and available product preferences. Disabling certain cookies may affect login, security, analytics accuracy or product functionality.

7. Security

We use reasonable technical and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration and disclosure. These may include authentication controls, role-based access, secure connections, access logging, backups, monitoring and restricted administrative access.

No online system is completely secure. Users should protect passwords, devices, emails, WhatsApp accounts, integration tokens and invited team access. If you suspect unauthorized access, contact support promptly.

8. Your privacy rights

Depending on applicable law and your relationship with Agiza One, you may have rights to be informed about data use, access personal data, request correction, object to certain processing, request deletion of certain data and raise privacy concerns with the appropriate authority.

Some requests may be limited where information is needed for security, billing, legal, audit, tax, fraud prevention, dispute resolution, backup integrity or legitimate business record retention.

9. Data retention

We retain information for as long as needed to provide the service, maintain business records, support audits, resolve disputes, comply with legal obligations, enforce agreements, improve security and operate backups. Retention periods may vary by data type, plan, legal requirement and customer request.

10. Children and business users

Agiza One is designed for businesses, business owners, authorized staff, accountants and professional users. It is not intended for children to use without appropriate authorization, supervision and legal capacity to manage business records.

We may update this Privacy Policy as the product, integrations, legal requirements or data practices change. Material updates may be communicated through the website, app announcements, email, WhatsApp or other reasonable channels.
